

Got Junk? (E-mail, That Is!)
There was a
time when junk mail consisted only of colorful brochures delivered by the
postal service and all spam came in a tin can!
Now, you can open your e-mail inbox and find numerous unsolicited messages
with many coming from unknown sources. Sometimes
one message is not enough, as these unwelcome senders continue to bombard you
with their information.
The Junk Mail Handling feature in GroupWise
can assist you with separating legitimate e-mail from spammed messages that
crowd your mailbox and deplete your e-mail account space.
Enable the Junk
Mail Handling Feature
·
Click
on Tools in the menu bar and select Junk Mail Handling from the drop-down
menu to open the Junk Mail Handling
window.

In
the Settings tab,
R
Click in the Enable Junk List check box in the Junk Mail section.
R
Click in the Enable Block List check box in the Blocked Mail section.
·
Click
on the OK button.
·
A
folder labeled Junk Mail will appear
in your folder list.
The next time you need to open the Junk Mail Handling window, you can
access it from the Tools menu or by
right clicking on the Junk Mail
folder and clicking on Junk Mail Handling in the pop-up menu.

Junk Mail vs. Blocked Mail You can
categorize unwanted messages as ·
Junk Mail – GroupWise will detect messages
from addresses or domains specified as junk mail senders and automatically
move them to your Junk Mail
folder. You will not see these messages in your mailbox. OR ·
Blocked Mail – GroupWise will block the
delivery of messages from designated addresses or domains. You
will not see these messages in your mailbox or your Junk Mail folder. What is a domain?
A domain is the component of an e-mail address that appears after the
“@” sign. You may classify all
messages from a particular domain as junk or blocked mail. For example, you might regularly receive
advertisements from an online vendor or third party advertiser that you do
not want in the same mailbox as your work-related messages or do not want to
receive at all. |
Create a Junk Mail
Address List
·
Open
the Junk Mail Handling window and click
on the Junk List tab.
·
Click
on the New button to open the New Address or Domain window.
·
Enter
the address or domain you want to add to the list in the text field and click
on the OK button. If you want to specify an entire domain,
enter “@domain name.extension.” For example, enter @doubleclick.com.
·
Repeat
the above steps for each address or domain that you want to classify as junk
mail.
·
Click
on the OK button in the Junk Mail Handling window.
Create a Block Mail
Address List
·
Open
the Junk Mail Handling window and click
on the Block List tab.
·
Note that the format of this tab is
identical to that of the Junk List
tab. Click on the New
button to open the New Address or Domain
window, enter an address or domain, and click on the OK button. When you are
finished entering all addresses or domains, click on the OK button in the Junk Mail
Handling window.
Modify Junk Mail
Handling Window Views and Selections
·
To view only Addresses or only Domains in
the Junk List or Block List tab,
R
Delete the check from the other check box. For example, to view only blocked domains,
click on the Block List tab and
click to “uncheck” the Addresses
check box.
·
To Edit an entry in the Junk
List or Block List
R
Click on the appropriate tab and
then click on the item you want to modify.
R
Click on the Edit button to open the Edit
Address or Edit Domain window
and make changes.
R
Click on the OK button in this window and in the Junk Mail Handling window.
·
To Delete an entry from the Junk
List or Block List
R
Click on the appropriate tab and
then click on the item you want to remove.
R
Click on the Delete button.
R
Click on the OK button in the Junk Mail
Handling window.
·
To change an e-mail address or a domain
classification,
R
Click on the Junk List or Block List
tab and then click on the item you want to reclassify.
o
In
the Junk List tab, click on the Move to Block.
o
In
the Block List tab, click on the Move to Junk.
R
Click on the OK button in the Junk Mail
Handling window.
What is the Trust List?
Use the Trust List to make
exceptions for any addresses in a domain that you have placed on your Junk List or Block List. For example, you might want to block all
senders from a particular domain except for one or two people. Put the domain on the Block List, but add the exempted addresses to the Trust List.
Move a Message from
Your Mailbox to Your Junk Mail Folder
While you
may know about several addresses or domains that you want to specify as junk or
blocked mail, other unwanted senders may find and spam your account.
If you find
one of these e-mails in your mailbox,

Click
and drag the message to the Junk Mail
folder.
·
The
Junk Sender window will appear. Note
that moving the message to this folder automatically adds the address to your Junk List.
·
Select
the appropriate radio button to
R
Junk e-mail from this address.
R
Junk any e-mail from this internet domain.
R
Do not add to the list.
·
Allow
the check to remain in the Move item to
the Junk Mail folder check box.
·
Click
on the OK button in the Junk Sender window.
Empty Your Junk
Mail Folder
Messages in the Junk Mail folder
will use up your allotted e-mail space.
Just as we have advised you to empty your Trash folder frequently, you should follow similar steps to delete
messages from your Junk Mail
folder. Removing these messages will not
change any specifications you have made in the Junk Mail Handling window.
In other words, deleting an e-mail from the Junk Mail folder does not automatically place the message sender on
the Trust List.
You can
have GroupWise systematically handle message deletion, or you can do so
manually.

If you want GroupWise to empty the Junk Mail folder automatically,
R
Open the Junk Mail Handling window.
R
In the Settings tab, click in the Automatically
delete items check box in the Junk
Mail Folder section.
R
Specify the number of Days after delivery that GroupWise
should move this folder’s content to Trash.
R
Click on the OK button in the Junk Mail
Handling window.

If you want to manually empty the Junk Mail folder,
R
Right click on Junk Mail in the folder list.
R
Select Junk Mail Handling from the pop-up menu.
R
Click on the Yes button in the confirmation window.
